Written for hotel concierge and guest relations staff, this guide sets out how to book and coordinate a chauffeur for a VIP guest, from the first request through to a discreet handover at the door.

In short
When booking a chauffeur for a VIP guest, a concierge should confirm timing, destination, passenger names and any special requirements as early as possible, brief the chauffeur on discretion and any specific handling needs, and coordinate a calm, low-profile handover at the door that respects the guest's privacy. Building a relationship with a trusted chauffeur company in advance makes last-minute requests far easier to manage well.
This guide is for hotel concierge, guest relations and front-of-house teams who are asked to arrange chauffeur transport for VIP guests, and who want a reliable process for handling these requests smoothly and discreetly.
A VIP booking is rarely just about getting a car to the door on time. It is about protecting a guest's time, privacy and comfort, and making sure everything behind the scenes has been thought through so nothing needs to be improvised in front of them.
How much lead time to plan for
Where possible, requests for VIP transport should be raised as early as the guest's itinerary is known, ideally at check-in or before arrival. Same-day requests can often still be accommodated, but earlier notice allows more choice of vehicle, more time to brief the chauffeur properly, and more flexibility if the guest's plans change.
- Airport arrivals and departures — as soon as flight details are confirmed
- Evening events, dinners or premieres — at least a day ahead where possible
- Multi-day itineraries — ideally before the guest checks in
- Recurring daily transport during a stay — arranged as a block for consistency
Information worth collecting before you call
Having the following ready before contacting the chauffeur company speeds up the booking and reduces the chance of a detail being missed.
| Detail | Why it matters |
|---|---|
| Exact pickup time and location | Avoids ambiguity between hotel entrances or floors |
| Destination and any interim stops | Allows accurate route and timing planning |
| Number of passengers and luggage | Determines the right vehicle class |
| Guest name(s) as they should be addressed | For a name board or discreet verbal greeting, as preferred |
| Any accessibility or medical considerations | Ensures the right vehicle and assistance |
| Level of discretion required | Some guests prefer no name board or visible signage at all |
Handling special requests
VIP guests sometimes have specific preferences — a particular route to avoid photographers, a preference for a quiet cabin with no conversation, chilled water on board, or a specific vehicle colour for a wedding or event. Passing these details on clearly in advance means the chauffeur arrives already prepared, rather than the guest needing to ask.
Briefing the chauffeur
A short, clear briefing to the chauffeur company covering the guest's name, timing, destination, discretion requirements and any special requests is generally more useful than a long conversation on the day itself. If the guest is particularly high profile, it is worth confirming directly with the chauffeur provider that the driver assigned has relevant experience.

Discretion and handover at the door
The handover moment — from lobby to kerb — is often where a booking is judged. A calm, unhurried handover, with luggage already loaded and the chauffeur positioned appropriately, avoids drawing attention to the guest. Concierge staff should agree in advance whether the chauffeur will approach the guest directly or wait for a signal from the concierge desk.
- Confirm the exact door or entrance to use in advance
- Load luggage before the guest reaches the car where practical
- Agree whether the chauffeur greets the guest by name or waits for an introduction
- Keep any waiting time visible to the concierge desk, not just the guest
Building an ongoing relationship
Concierge teams who work regularly with the same chauffeur company generally find last-minute VIP requests far easier to manage, since the provider already understands the property's layout, preferred handling and typical guest profile. Setting up an account in advance, even before it is needed, removes friction when a genuinely urgent request comes in.
